Lesson Day/Time Lessons can be held all year long, including weekends and holidays from 8am to 11pm.

Although the schools’ offices are closed on Sundays and holidays, upon request, classes can be held on any day of the year.

Trial Lessons

Trial lessons can be arranged at any one of our schools or on the client's premises.
The trial lesson fee for "A" languages is ¥2,200 for a 30-minute trial lesson and ¥5,500 for a 50-minute trial lesson.
"A" languages are Japanese, English, German, French, Italian, Spanish, Russian, Chinese and Korean.
"B" Languages are any languages not in the "A" Language category.
Please note that for "B" Languages, only 50-minute trial lessons are available.
In the case of taking multiple trial lessons, there is a limit to the number of trial lesson fees that can be deducted from the lesson fees when fully enrolling. If the trial lessons are only for "A" languages, only two trial lesson fees can be deducted.
If the trial lessons are for both "A" and "B" languages, the trial lesson fee for the "B" languages can be deducted but the fees for the "A" languages cannot be.

Contract Agreement

The agreement will be considered concluded upon the students signed consent of the Enrollment Form and Terms and Conditions and these documents are approved and accepted by ICC Language Schools. The contract for the course is effective for the duration of the term for which the student has registered. ICC will issue a copy of the Enrollment Form with the necessary details as a contract document.

Enrollment Procedure

After the Enrollment Form is completed and signed, ICC Language Schools requires that all necessary fees be made by bank transfer no later than the date agreed upon between the Student and ICC.

Course TermExtension

Should the student wish to extend the course’s term, he/she should inform the school’s office as early as possible. Payment of all the necessary school fees needs to be confirmed no later than one day before the start of the new term.

Payment Policy

The student is requested to transfer the enrollment fee, the overhead fees, the teaching materials fees, the tuition fees and any other necessary fees by a fixed date to a bank account designated by ICC. Payment of all the fees needs to be made in Japanese Yen and confirmed at least by one day prior to the start of the course. Generally, payment needs to be made in full. However, if the tuition fees exceed ¥100,000, payment can be made in three installments and needs to be completed within three months from the start of the course. However, the enrollment fee and teaching materials fees need to be paid in full before the start of the course. Depending on the agreed upon contract, deferred payment may be made by corporate clients upon approval by the school director. Bank transfer fees must be paid by the student.

Course Starting Date

Courses can start anytime as soon as classrooms are available and suitable instructors have been assigned.

Course Schedule

Courses can be taken on a fixed or on a flexible schedule.

Types of Courses

ICC offers only private lessons. However, for students who wish to take lessons with friends, family members or work colleagues, ICC offers group lessons as well. Upon request, on-site lessons are available, at the students’ home or on the organization’s premises

Course Content

After listening to the student’s needs and assessing his/her level, a suitable instructor will be assigned and a curriculum will be designed to suit his/her exact level and specific needs.

Class Cancellation and Rescheduling

If a student wishes to cancel or reschedule his/her lessons, the school’s office must be contacted no later than 5:00pm on the day before the lesson(s). If the previous day is a Sunday or a holiday, the school’s office needs to be informed by the day before the Sunday or the holiday. Classes cancelled by 5:00pm the previous day can be made up within one month of the cancellation, and within the course’s term validity period. For cancellations made on the day of the lesson(s), or after 5:00pm on the day before the lesson(s), the full tuition fee will be charged. A rescheduled lesson can not be rescheduled a second time. In the event of bad weather or an earthquake making commuting to the school either impossible or dangerous, as determined by ICC's management, the lesson missed shall be made up at another time. In the event that a student does not arrive at the school at the scheduled lesson time,30 minutes has passed and no contact by either phone or e mail can be made, that lesson time is counted as one lesson and may not be made up. In the event of an instructor's being forced to miss a lesson due to ill health, an accident, or some other unforeseen circumstance, ICC Language Schools reserves the right to have a substitute instructor conduct the lesson only after having notified the student of the substitution in advance.

Course Term Validity

All courses need to be completed within the course term validity period. If for unavoidable reasons such as sickness or business trips the student cannot attend classes for an extended period of time, the course validity period can be extended up to a total of three months per year. However, the student needs to get a written confirmation from the school’s office. The period taken for an authorized Leave of Absence (LOA) will be added to the end of the student's course of study. There are no refunds for an unauthorized LOA, and the period of absence during an unauthorized LOA will not be added on the end of a student's course of study. Please avoid being absent from class without informing our school office beforehand. A continuous absence exceeding three months will result in the discontinuation of a course. In such a case, the remaining lessons cannot be taken, and the remaining balance cannot be refunded

Long- term leave of absence

Should you wish to be absent for an extended period of time, up to one year from the date of your last lesson , you may
3resume lessons without paying an additional enrollment fee. Should the period of absence exceed one year, a new enrollment fee will be required to restart lessons.

Course Location

Classes will be held at the location specified on the enrollment form. However, in unforeseeable circumstances, classes may be relocated.

Compensation for Damages

ICC will not be liable or have any responsibility for damages caused by any kind of accident, theft or losses within its schools’, students’ or clients’ premises, or during ICC-sponsored events, such as school parties, school trips, or study abroad programs.

Notes

- Smoking is prohibited on schools’ premises.
- Transfer of money or goods, and solicitation or sale of goods within the schools’ or clients’ premises are strictly prohibited.
- ICC reserves the right to refuse admission or to dismiss students anytime if they behave in an improper manner and are found to be an obstacle to other students, teachers or staff members.
-Please be reminded that learning a foreign language depends not only on regular attendance but also on consistent review and preparation at home.

Privacy Policy

ICC considers the security of the personal information it collects from its students, corporate clients and staff as a very serious responsibility, and recognizes the importance of handling it with utmost care. ICC has established the following principles to ensure the privacy and proper use of personal information:
Compliance with obligations under Japanese laws and regulations.
ICC observes all laws, ordinances, guidelines and other regulations set by the Japanese government on privacy information protection. ICC makes this privacy policy known to all those who are engaged in ICC’s business, and the details of the policy are available on ICC’s official websites and brochures.
Keeping personal information in strict confidence.
ICC keeps all personal information accurate and updated, and manages it strictly. ICC will always take preventive measures to prevent any leakage, loss or damage, falsification or unauthorized access to any personal information it collects. ICC’s personal information protection safeguards and procedures are constantly reviewed and updated.
Providing information to a third party.
ICC will not disclose or provide any personal information to a third party without the consent of the person or the client involved, except in cases stipulated by Japanese laws and ordinances.
Compliance with students’, clients’ or staff’s requests.
If a student, a client or a member of our staff would like to request ICC to disclose, correct, add or delete any personal information, a request needs to be made to the School Director in writing. After the person making the request has been verified and compliance has been granted, ICC will comply with the request as soon as possible

Refund Policy
Cooling Off
Under the Specific Commercial Transactions Law (特定商取引に関する法律), if the contract is subject to the Specific Commercial Transactions Law (i.e. it stipulates courses exceeding two months and/or tuition fees exceeding ¥50,000), “Cooling Off” will be applied if the student submits a written document to ICC indicating his/her intention to cancel the contract within eight (8) days including Saturdays, Sundays and national holidays, from the date when the student signed the registration form and received the contract. ICC will refund the full amount to the student. The refund will be made to a bank account designated by the student. The transfer charge will be borne by the student.
*Cooling Off will not be applied if the contract stipulates courses not exceeding two months and/or tuition fees not exceeding ¥50,000.

Cancellation Prior to the Start of the Course (after the Cooling Off period)

●. After the Cooling Off period set forth in the previous article, the student is permitted to cancel the contract prior to the start of the course for which he/she has registered. The student should inform ICC in writing that he/she wishes to cancel prior to the start of the course.
●. The course fee minus a cancellation fee of ¥15,000 will be refunded to the student by bank transfer to a bank account designated by the student, in which case the transfer charge will be borne by the student.
●. In circumstances where a student’s prior cancellation of the contract is due to a situation uncontrollable by the student, such as a change of address, illness or death of the student or a member of his/her family or change of work schedule, and if the student submits certification of change of address, medical condition, accident or death and ICC recognizes that the student is unable to continue classes regardless of his/her intention to study, ICC will refund the full amount without claiming a cancellation charge. The refund will be paid to the student by bank transfer to a bank account designated by the student. The transfer charge will be borne by the student.

Cancellation Following the Start of the Course (after the Cooling Off period)

●. The student can cancel the contract at any point following the start of the course for which he/she has registered.
●. If the student cancels the contract during the term, ICC will refund the student according to the following formula. The refund will be made to a bank account designated by the student. The transfer charge will be borne by the student.

Refund = A+B-C-D

A Enrollment fee (Only for students who are studying at ICC for the first time.)
B Unattended tuition fee (*)
C 20% of the unattended tuition fee or a maximum amount of ¥50,000, whichever is lower
C Cancellation fee (¥15,000)

*Paid tuition fees and overhead fees for the contracted course - {attended class units × (total tuition fees+total overhead fees ÷ total class units)}

Refund for Textbooks and Other Teaching Materials

Returning teaching materials associated with the midterm cancellation of a course, and the refund for these materials will depend on the condition of the materials. They need to be in their original and perfect condition. Materials that have already been opened or used are regarded as materials which have no residual value, and therefore a refund for such materials cannot be made.

Additional Clause

Matters not stated in this contract will be dealt with in accordance with Japanese laws and regulations.

Online Lesson Terms and Conditions

Article 1 (Application of these Terms, etc.)

  1. These Online Lesson Terms and Conditions (hereinafter, "these Terms") establish the terms of use for the online lesson service (hereinafter, "the Service") operated by ICC Language Schools (hereinafter, "the School.”) These Terms shall govern the relationships between persons using the Service or seeking to use the Service (hereinafter, "Users") and the School in their entirety.
  2. Various regulations for using the Service such as rules (hereinafter, "Individual Regulations") may be established in addition to these Terms.
  3. Matters not stipulated in these Terms shall be in accordance with the provisions of ICC Language Schools' lesson agreement, privacy policy and website terms of use (hereinafter collectively referred to as "Lesson Agreement, etc.")

Article 2 (Purpose of the Service)

The Service is provided for the purpose of allowing Users to learn languages through lessons.

Article 3 (Service User)

Users must fulfill all of the following conditions in order to use the Service:

  1. Be an ICC Language Schools student (hereinafter, “Student”);
  2. Have a desire to take lessons using the Service and agree to these Terms; and
  3. The School may refuse use of the Service to Users whom it deems may interfere with the use of the Service or disrupt order, even if they have fulfilled all the conditions prescribed in the preceding items.

Article 4 (Lesson Cancellation/Change/Rescheduling System)

  1. Users may reschedule a lesson by notifying the reception desk of the cancellation/change by 5 p.m. on the day prior to the lesson (or if the day prior to the lesson is a school holiday such as Sunday or a public holiday, then the day prior to that.)
  2. Users may not change a lesson that has already been rescheduled.

Article 5 (Use of Web Conferencing System)

The Service is provided using a web conferencing system.

  1. Service usage environment

Users shall prepare devices (computer, webcam, etc.) to facilitate use of the web conferencing system, confirm functionality and perform a connection test in advance on their own responsibility and at their expense. Users shall also comply with the rules and guidelines presented by the web conferencing system company, and prepare an environment where they can take lessons normally. Please note that the School cannot respond to questions or inquiries regarding services provided by the web conferencing system company.

  1. Web conferencing system purpose of use

Use of the web conferencing system by the School and the User shall be solely for the purpose of the Service.

  1. Problems with the usage environment

The School shall not be liable for Users' inability to take lessons due to their user environment. And the School shall not be liable for any malfunctions in the web conferencing system itself that occur after a lesson begins.

  1. Disclaimer

The School shall not be liable for any damage to Users' computers, communications lines, software, etc. caused by computer virus infection or the like when using the Service, or any damage caused by the software and delivery files used for the Service either during or outside of lessons.

Article 6 (Other Precautions)

Users must not engage in any of the following acts when taking lessons using the Service or otherwise:

  1. Engage in words and behavior that interfere with lessons and the School's business or that cause trouble to other students, teachers and staff;
  2. Sell goods, engage in solicitation, or give and receive money and goods other than for the purpose of the lesson; or
  3. Record audio or video or take photographs of a teacher's lesson or the teacher themselves, etc. without permission.

Article 7 (Revision to These Terms)

  1. The School reserves the right to revise or change these Terms and Individual Regulations at its discretion. Such revisions, etc. shall be applicable to all Users.
  2. The School will provide advance notice of revisions made in accordance with the preceding paragraph on the School's website.
