School Policy / Terms and Conditions

In order to avoid any misunderstanding, please read the following information carefully before signing an enrollment contract with ICC! Also, when you are on school premises, please make sure to read the information posted on the notice boards.

Trial Lessons Trial lessons for our major languages (Japanese, English, French, Spanish, Italian, German, Russian, Chinese and Korean) are a charge of ¥2,160 for one 30-minute, and can be held anytime, on our school premises. For other languages, there is a ¥5,400 for one 50-minute charge for every trial lesson. However, this amount will be deducted from the school fees upon enrollment. For corporate clients, trial lessons can also be held on client’s premises, upon request.
Application Deadline Suitable applicants are accepted for all courses at any time.
Lessons Days/Time Lessons can be held all year long, including weekends and holidays, anytime from 8 am to 11 pm.

Please note that, although the school offices are closed on Sundays and on holidays, upon request, classes can be held on those days as well. Please contact our office for further information.

Enrollment Procedure The following information is mainly for individual students. For corporate clients please refer to the contract made between ICC and your company or organization.
Registration Please fill out the enrollment form properly, sign it, and pay the necessary school fees, cash at the school office or by bank transfer.  Payment needs to be confirmed, at least two days before the start of the course.
Course Extension If you desire to extend your course, please inform the school office, and complete the necessary formalities and payment, at least one week before the last day of your course.
Contract A copy of the enrollment form signed by both parties will be given to you as a written contract stating the agreement details between you and ICC.

Course Curriculum and Types of Lessons

Course Curriculum After listening to your specific needs and assessing your proficiency level, a curriculum will be designed to suit your exact level, specific needs and the schedule.
Types of Lessons

Private lessons
Generally, ICC offers only one-to-one lessons. However, for students who wish to take lessons with friends, family members or work colleagues, we also offer semi-private or group lessons.

Semi-private lessons
Classes of up to 5 students, suitable for students who wish to take lessons with friends, family members or work colleagues

Group lessons
Classes of more than 5 students, suitable for students who wish to take lessons with friends, family members or work colleagues

On-site lessons
On-site lessons can be held at the students’ home or on the organization’s premises

Class Cancellation and Rescheduling Policy

Class Cancellation and Rescheduling

If you wish to cancel classes or make any changes to your course such as class or course schedule, please contact our school office by 5:00pm of the previous day. If the previous day falls on a Sunday or
 a national holiday, you have to contact the school office previous to that Sunday or national holiday.
All make-up lessons must be taken within the course’s term of validity.

Extended Leave of Absence

Generally, the course’s validity period cannot be extended. However, if for unavoidable reasons such as sickness or business trips you cannot attend classes for an extended period of time, the course validity period can be extended up to a total of three months per year. Please make sure to inform the school office accordingly, and get a written confirmation, as soon as possible. The period taken for an authorized Leave of Absence (LOA) will be added to the end of the student's course of study. There are no refunds for an unauthorized LOA, and the period of absence during an unauthorized LOA will not be added on the end of a student's course of study. Please avoid being absent from class without informing our school office beforehand. A continuous absence exceeding three months will result in the discontinuation of a course. In such a case, the remaining lessons cannot be taken, and the remaining balance cannot be refund.

Notes

There are no make-up lessons for classes that had to be cancelled due to transportation problems,
  strikes, or natural causes such as typhoons and earthquakes.

Please note that In some unavoidable circumstances, the instructor(s) in charge of your course
  may have to be replaced.

Payment Policy

● For details on enrollment fees, lesson fees, maintenance fees, material fees and other costs, please
  see our school tariff, or contact our school office. Please note that all prices are subject to change
  without notice.

● All fees, such as tuition fees, registration fees, maintenance fees, and textbooks and other necessary
  teaching materials fees must be paid in advance, in Japanese Yen, in accordance with the payment
  plan selected by the student or the client. Payment needs to be confirmed at least two days before
  the start of a course. It can be made cash at the school office, or by bank transfer. Deferred payments
  may be made by our corporate clients from the second contract, upon approval by our school director.

● If the tuition fees exceed \100,000, payment can be made in three installments, but needs to be
  completed within three months. However, enrollment fees, material fees and maintenance fees need
  to be paid in full before the start of the course.

● Bank transfer fees must be paid by the student or the client.

● ICC has no protective measures for advanced payments or deposits.

REFUND POLICY

Cooling-off

● Pursuant to the Japanese act on specified commercial transactions, cooling-off will be applied by
  notifying the school office about the cancellation of a contract in written form, within 8 days of the
  signing of the contract, including the date of receipt of the written contract, and weekends and holidays.

● Cooling-off applies only to courses with periods exceeding two months, and with a total contract sum of
  over \50,000. Related items, such as teaching materials are applied to the sales contract.

● Cooling-off is valid regardless of the payment method, the number of lessons registered for, or the
  teaching materials purchased.

● There will be no claims of damages or penalties due to the cancellation of the contract.

● All the fees that have been paid such as enrollment fees, lessons’ fees, maintenance fees and teaching
  materials’ fees can be reimbursed. If the teaching materials have already been delivered to the student
  or the client, ICC will cover the returning cost of the materials

● If a nonrecognition is made by ICC, by being told that the contract is insolvent, or if you feel that
  cooling-off was not carried out because of confusion due to coercion, you can reapply for cooling-off
  within 8 days including the date of receipt of a written notice from ICC, recognizing that cooling–off can
  be made. 

● All cancellations and refund requests must be made in writing, based on our school policy.

● For the reimbursement to be made, please fill out the specified reimbursement form properly.

● Every effort is made to issue refunds within 30 days of receipt of the written cancellation request.

Midterm Contract Cancellation

● After the cooling-off period has passed, or for courses which are not covered by cooling-off policy, the
  contract (course) can be canceled before maturity, during the valid term of the contract.

● If the course has not started yet, the amount already paid (the total amount of entrance fees,
  maintenance fees and lesson fees) will be reimbursed after deducting a commission of ¥15,000.

● If the course has already started, the paid fees will be reimbursed after deducting the lesson and
  maintenance fees for the lessons taken, and after deducting 20% from the remaining amount, or
   a maximum amount of ¥50,000, whichever is lower, in addition to a commission fee of ¥15,000.

● The lesson and maintenance fees for lessons actually taken will be calculated by multiplying the
  number of lessons taken by the unit price fixed when the contract was signed.

● Returning teaching materials associated with the midterm cancellation of a course, and the refund for
  these materials will depend on the condition of the materials. They need to be in their original and
  perfect condition. Materials that have already been opened or used are regarded as materials which
  have no residual value, and therefore a refund for such materials cannot be made.

● All cancellations and refund requests must be made in writing, based on our school policy.

● For the reimbursement to be made, please fill out the specified reimbursement form properly.

● Every effort is made to issue refunds within 30 days of receipt of the written cancellation request.

Compensation for Damages

● ICC will not be liable or have any responsibility for damages caused by any kind of accident, theft or
  losses within our schools’, students’ or clients’ premises, or during ICC-sponsored events, such as
  parties and school trips, or study abroad and homestay programs.
